Set Up Appointment Reminders.
Select SETTINGS (from the left menu)
Select BOOKINGS tab from the top of the screen
In BOOKING REMINDERS Toggle on SMS* and or EMAIL to enable
Select the required number of days prior to a clients booking you would like to send your reminder. (options are 1 to 7. Our data suggests that 2 days prior is the optimal time to send a reminder)
To use the default settings select SAVE
To edit SMS template and or Email template select CUSTOMISE and then SAVE
*Text credits must be purchased to send appointment reminders vis SMS.
How to Customise, Edit or Personalise Appointment Reminder Templates
For SMS Reminder templates
Select SETTINGS (from the left menu)
Select BOOKINGS tab from the top of the screen
Under SMS template select CUSTOMISE
Toggle On USE CUSTOM REMINDER TEMPLATE
Use Personalisation Menu to insert dynamic content including Client name, salon name and number, team name and booking details.
When finished select DONE
And SAVE
For EMAIL Reminder templates
Select SETTINGS (from the left menu)
Select BOOKINGS tab from the top of the screen
Under Email template select CUSTOMISE
NOTE: Subject line cannot be blank
Use Merge Tags Menu to insert dynamic content including Client name, salon name and number, team name and booking details.
When finished select SAVE
And then SAVE
How to Purchase Text Credits
Select SETTINGS (from the left menu)
Select MESSAGING tab from the top of the screen
Toggle On SMS Messaging
Select Auto Top Up* if required.
Select your Preferred Batch Size**
Select ADD CARD and BUY NOW or if a payment method is listed select the required payment method (which will then be ticked) and select BUY NOW
*we recommended this as messages will automatically be topped up when your balance reaches zero avoiding message failure and avoidable no shows.
**pricing varies based on batch size. THIS IS NOT A SUBSCRIPTION. Batches only top up when balance reaches zero.
How to Trouble Shoot Appointment / Booking Reminders
My client did not receive their Text / SMS appointment reminder.
To confirm SELECT client booking
From the panel on the right of your screen Under the client name the reminder status will display as sent or failed.
If Sent to confirm Click on the Client Name.
From their profile SELECT MESSAGE
The content and time sent will be displayed. This indicates that the message was generated as expected. If the client did not receive the message this would typically mean a hand set or network issue.
If Failed use these steps
Select SETTINGS (from the left menu)
Select MESSAGING tab from the top of the screen
Check Balance
If zero select a batch and top up.
Toggle on SMS Messaging
Consider selecting Auto Top
